English product documentation

What Practice Ops does - and what stays under professional control.

Use this guide when introducing the platform to firm owners, staff and clients. It describes the live workflow in plain English and keeps regulatory claims precise.

01 / CONTROL

Practice management

A shared operational view of every client commitment.

  • Create clients and define active services
  • Open jobs with due dates, stages and owners
  • Start and complete controlled tasks
  • Pause, resume and complete work with audit history
  • Track obligations and recorded filing results

02 / EVIDENCE

Client portal

Collect records without losing the connection to the job.

  • Send itemised document requests by email
  • Clients sign in through a secure portal login, scoped to their own records only
  • Upload multiple documents against each request item
  • Record responses, waivers and accountant review
  • Give clients a read-only view of accounts progress and cashflow
  • Keep private files behind tenant and role controls

03 / ACCOUNTS

FRS 105 working papers

Build deterministic figures with the accountant in control.

  • Import bank statements as CSV or PDF, with source hashes and malware scanning
  • Get AI category suggestions the accountant reviews, accepts or corrects — plus practice- and client-level rules that steer future suggestions
  • Post opening balances from Companies House filed accounts, an uploaded prior-year PDF, or direct manual entry — always accountant-reviewed line by line
  • Review and reclassify straight from the trial balance, drilling into any account's postings
  • Track multiple accounting periods per client and switch between them
  • Review trial balance, profit and loss, balance sheet and a downloadable analytics report
  • Record evidence-backed tax add-backs, deductions and losses

04 / FILING

Filing routes

Choose the workflow without confusing preparation with acceptance.

  • Generate immutable, SHA-256-addressed draft snapshots
  • Download a human-readable PDF review pack
  • Download source JSON for archive and reconciliation
  • Look up a company's live Companies House register history for reference
  • Store an authority receipt before work can be called filed

End-to-end workflow

Seven controlled hand-offs.

  1. 01

Set up the client and services

  2. 02

Open the period or compliance job

  3. 03

    Request and review source evidence

  4. 04

    Prepare and reconcile the accounts

  5. 05

    Create an immutable review snapshot

  6. 06

File through the permitted manual route — Companies House WebFiling and recognised CT600 software

  7. 07

Record the official receipt and close the obligation

Important boundaries

Clear language protects the firm.

AI is an assistant. Suggestions and extraction can reduce manual work, but deterministic code and accountant decisions control ledger figures and filing content.

A download is not a filing. PDF and JSON exports support review, archive and permitted manual entry. They do not prove submission or acceptance.

HMRC requires compliant electronic content. A Company Tax Return requires CT600 data and the required iXBRL accounts and computations. A normal PDF cannot replace that package.

Government status comes from government evidence. Practice Ops records accepted, rejected or pending only from an explicit provider response or independently retained authority receipt.

Worked calculation

See bank statements become FRS 105 annual accounts.

Follow source rows, double entries, year-end journals, report formulas and a £0 balance difference.
